The Diabetes Alliance of Idaho (DAI) is an independent, volunteer organization consisting of individuals and agencies dedicated to the prevention and reduction of the personal and public impact of diabetes in Idaho’s communities. The DAI works together to improve access to quality health care, increase awareness and support through education, and reduce diabetes complications for those challenged with diabetes in Idaho.
Position Overview:
The Part-Time Bookkeeper will be responsible for monitoring the day-to-day financial transactions of the Diabetes Alliance of Idaho, ensuring accuracy and compliance with nonprofit accounting standards. This role requires experience with QuickBooks and a moderate understanding of nonprofit financial management, including grant tracking and tax compliance. The Bookkeeper will work closely with the executive leadership team to ensure timely and accurate financial reporting.
Key Responsibilities:
o Perform monthly reconciliation of bank accounts and debit card transactions.
o Categorize transactions in QuickBooks accurately, ensuring consistency with our budget and funding sources.
o Prepare monthly financial reports using QuickBooks, including income statements, balance sheets, and cash flow reports.
o Provide clear, accurate financial reports to the Executive Director and Board of Directors to support decision-making.
o Manage accounts payable, ensuring that monthly bills and expenses are paid on time.
o Process incoming payments and donations, ensuring they are properly recorded and categorized. o Track and follow up on outstanding invoices or payments as needed.
o Monitor and track grant funds, ensuring compliance with grant requirements and reporting deadlines. o Maintain accurate records of grant expenditures and assist in the preparation of financial reports for grantors.
o Ensure compliance with federal, state, and local tax requirements for nonprofit organizations. o Prepare documentation for tax filings and work with an external accountant or auditor as needed to ensure accurate tax preparation and reporting.
o Maintain proper records for 1099s and ensure timely distribution to contractors.
o Work with payroll company as needed.
o Assist in the preparation of the annual budget and provide financial insights to support planning. o Monitor actual income and expenses against the budget, and provide variance analysis as needed.
o Maintain accurate and organized financial records and documentation for auditing purposes. o Ensure that all financial data in QuickBooks is up to date, backed up, and secure.

This is a part-time, temporary position requiring approximately 3-5 hours per month. The schedule can be flexible, with some hours needing to align with the monthly Board of Director meetings.

Hourly rate of $25 per hour for approximately 3-5 hours per month.
