Simply Cats Adoption Center is Boise, Idaho's premier cageless, no-kill feline adoption center dedicated to saving cats from suffering or euthanasia. Our mission is to save cats from suffering or euthanasia by practicing and promoting high standards of care and creating successful adoptions.
We are seeking an Executive Administrative Assistant to join our team at Simply Cats Adoption Center. The Executive Administrative Assistant handles the day-to-day communications for the Executive Director, and works collaboratively with all staff to support the mission of Simply Cats Adoption Center and represent its values when interacting with donors and the community.
This role is essential in supporting our operations and ensuring smooth administrative processes. The ideal candidate will contribute significantly to our mission by providing exceptional organizational and customer service skills.
Responsibilities
Perform basic bookkeeping tasks including bill paying, check cutting, processing donations, making deposits, invoicing, financial data entry, reconciliation and running reports, submitting payroll, etc.
General administrative duties including drafting communications, managing mailings, customer service, preparing reports, and maintaining appropriate filing systems.
Maintain organizational records, files and documents
Provide general support to donors, callers and visitors
Maintains relationships with donors, sponsors, grantors and supporting foundations
Manage donor database, and maintain contact lists
Handle sensitive information in a confidential manner
Assist with donor communications, including appeal and thank you letters, sponsorship communications, annual donation receipts, etc.
Proofread reports and written documents for grammar, punctuation and spelling errors
Database management (e.g. updating new contact information, periodic audits to ensure accuracy of the database, takes the lead on all donation and membership payment processing, including data entry into online database, and sending out acknowledgement letters)
Requirements and skills
Proven administrative assistant experience (in a nonprofit environment preferred)
Strong organizational, time management and problem solving skills
Ability to multitask and prioritize work
Ability to work independently and in a team
Highly organized, detail-oriented and flexible
Excellent written and verbal communication skills
Excellent customer service skills
Knowledge of office management systems and procedures
Proficiency in Microsoft Office required
Proficiency in donor management software preferred
Proficiency in Quickbooks Online preferred
