Reporting directly to the President and CEO, the Executive Assistant provides executive support to the CEO and other members of the Senior Leadership Team as needed. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President. The Executive Assistant also serves as a liaison to the board of directors.

Schedule:  

This is a full-time position at 40 hours weekly.  Schedule requirements are Monday through Friday between the hours of 9:00am - 5:00pm.  Pay Range:  Minimum: $18.10/hr., Mid-Range: $22.63/hr., and Maximum: $27.15/hr.   Pay DOE.

Responsibilities:

  • Completes a broad variety of administrative tasks for the President & CEO including managing an extremely active calendar of appointments; completing expense reports and credit card usage; composing and preparing correspondence that is sometimes confidential; and arranging complex and detailed meeting agendas.
  • Functions as the Secretary of the Board of Directors and the primary liaison for board members and board alumni.
  • Maintains and organize all records, including meeting minutes and rosters related to the Board of Directors and associated committees, as well as the President/CEO.
  • Serves as the primary point of initial contact for staff, board and external stakeholders on all matters pertaining to the Office of the President/CEO.
  • Independently research, prioritize, and follow up on multiple incoming matters addressed to the President/CEO, including those of a sensitive and/or confidential nature; determine appropriate course of action, referral, and/or response.
  • In coordination with executive team members and committee chairs, schedule meetings and coordinate and distribute materials for effective committee, subcommittee and task force meetings.
  • Maintain and promote relationships with potential and current donors, volunteers and members, moving them toward further commitment to the Association.

Qualifications:

  • Bachelor's degree.
  • Five or more year’s management experience, preferably in the YMCA and/or not-for-profit sector.
  • Proven track record of developing authentic relationship with others and establishing and maintaining 
    collaborations with community organizations.
  • Commitment to holding self and others accountable for operational safety.
  • Excellent human relations skills and an ability to maintain positive communication with staff and members.
  • Ability to address and make solid decision in emergency situations.
  • Excellent verbal and written communication skills including telephone etiquette and computer use.
  • Must have good interpersonal and communications skills and be sensitive, adaptable, professional, and articulate when dealing with others.
