Wish Coordinator (Part-Time)

Position Summary
The Wish Coordinator plays a central role in the wish-granting process, managing referrals, coordinating communication with recipients and volunteers, and ensuring all documentation and program records are complete and accurate. This part-time role combines compassionate client support with strong organizational skills to move each wish smoothly from referral to fulfillment.
By maintaining clear processes and overseeing program details, the Wish Coordinator helps ensure every wish experience is respectful, seamless, and aligned with the mission of Wish Granters—bringing joy, dignity, and meaningful moments to terminally ill adults and their loved ones.
Key Responsibilities
Wish Intake & Recipient Support
- Receive and process incoming wish referrals.
- Communicate with wish recipients, family members, and referring partners, in conjunction with the assigned Wish Team Member, to gather necessary paperwork.
- Guide recipients through the wish application and documentation process, in conjunction with the assigned Wish Team Member.
- Maintain compassionate and respectful communication with individuals facing serious illness.
Wish Tracking, Communication, & Coordination
- Track the progress of each wish from referral through fulfillment, maintaining accurate records of status, timelines, and outcomes.
- Serve as a liaison between wish recipients, volunteers, sponsors, and internal staff, ensuring clear and consistent communication.
- Coordinate with wish committee members to ensure next steps are completed, and assist with logistics related to wish fulfillment as needed.
- Work with sponsors and donors to secure in-kind donations to support wishes.
- Identify potential barriers or delays, proactively problem-solve, and provide regular updates on wish progress to leadership and the wish committee.
Documentation & Compliance
- Ensure all required paperwork, releases, and eligibility documentation are completed and properly saved.
- Maintain organized digital records for each wish recipient.
- Support program reporting by tracking key wish metrics and outcomes.
Website & Program Updates
- Update the Wish Granters website with completed wish stories and recipient highlights.
- Maintain accuracy of wish-related content and program information.
- Assist with collecting photos, stories, and details to support storytelling and communications.
Qualifications
Required
- Strong organizational and administrative skills.
- Excellent communication and interpersonal skills.
- Compassion and comfort working with individuals facing terminal illness.
- Ability to manage multiple projects and timelines simultaneously.
- Proficiency with databases, spreadsheets, and basic website content updates.
- A valid driver’s license and access to reliable transportation.
Preferred
- Experience in nonprofit programs, social services, or healthcare-related work.
- Experience working with volunteers.
- Experience with CRM or program tracking systems.
